The security of your personal data is our priority. We therefore pay due attention to personal data and its protection. In this Privacy Policy (hereinafter referred to as the “Policy”) you will find information about what personal data we collect about you, on what legal basis we process it, for what purposes we use it, how long we keep it for and to whom we may transfer it. This Policy also informs you of your rights in relation to the processing of your personal data.

2) For what purpose do we process personal data?
Your personal data will be processed for the following purposes:
· For the processing and evaluation of your job application and inclusion in the selection procedure.
· So that we can assign a suitable position using our AI tool.
· So that we can communicate with you regarding your application or job conformity, also in the case of the use of the search tool for open positions.
· So that we adhere to our legal obligations and ensure compliance with regulations.
· To improve the functionality and user experience of our website.
3) On what legal basis do we process personal data?
We process your personal data on the basis of the following legal foundations:
3.1. Consent
If you provide your data for a job application or you use the AI tool or search tool for open positions, you agree with the processing of your data.
3.2. Contract
The processing is necessary primarily to perform measures taken before concluding a work contract or other similar contract with you.
3.3. Legitimate interest
Legitimate interest is considered to be the processing of identification and contact data, as well as information on the course of the hiring process, for streamlining the hiring process, for performing analytical and statistical activities and for preserving date integrity and removing any duplications. Such data will be personalised (pseudonymised), encrypted and further protected so that the rights and freedoms of the data subjects are protected to the maximum extent. This processing will not have consequences for the data subjects and will not in any way. Our legitimate interest is also the improvement of our services, safeguarding our website and ensuring compliance with regulations.
4) To whom do we transfer personal data?
In most cases, we process your personal data for our own purposes as a controller, which means that we determine the above-mentioned purposes for the collection of your personal data, the means of processing and the proper execution. We also transfer your personal data to our processors, who, of course, comply with the statutory conditions for personal data protection. These processors process the personal data according to our instructions and your rights are not affected in any way by this processing.
The category of recipients to whom we may transfer your personal data:

· Suppliers of technologies and companies operating software tools
· Operators of marketing tools
If third parties use your personal data in the context of their own legitimate interests, we shall not be held liable for that processing. Such eventual processing is governed exclusively by the Personal Data Processing Policy of the relevant companies and individuals.
5) For how long do we process personal data?
5.1. Job applications
Your data will be stored for a period of 3 years from the date on which the application is submitted or until you request for it to be deleted.
5.2. Data from the use of AI tools
Data provided for the recommendation of AI will be anonymised or deleted after.
5.3. Legal obligations
Data required for compliance with legal regulations will be stored for the absolutely necessary period.
In other cases, the processing of your personal data arises from the purpose of the processing or is determined by binding data protection legislation.
6. What are your rights and how can you exercise them?
Just as we have our rights and obligations when processing your personal data, you also have certain rights that you can exercise. These rights include:
6.1. Right of access
You have the right to request, free of charge, information on the processing of your personal data – what data about you we process, for what purpose and for what period of time, where we obtain your data and to whom we transfer it. In the context of the right of access, you can also ask us to send you a structured machine-readable format of the processed data.
6.2. Right of rectification
If you find that the processed personal data is incorrect or incomplete, you have the right to ask for its rectification. We will gladly correct or complete your data without any unnecessary delay.
6.3. Right of erasure
In some cases you can exercise the right of erasure of the personal data about you that we process. We will erase or anonymise your personal data without unnecessary delay. If you decide at any time to withdraw from the selection procedure before it is terminated by the controller, you may do so and freely erase your personal data through this address https://app.recruitis.io/public/unsubscribe. Erasing all your personal data will lead to the irreversible erasure of all the data you have sent, including all additional data of a personal character added by the controller, except for the notes that are the output and records on the course of the selection procedure and that do not contain any personal data.
6.4. Right to restrict processing
In some cases you can also exercise the right to restrict processing of the personal data about you that we process. You can request for the data you designate to not be the subject of further processing for a defined period of time.
6.5. Right to portability
You have the right to receive from us all the personal data you provided that we are processing on the basis of your consent. We will provide the personal data to you in a structured and machine-readable format.
6.6. Right to object to processing
You have the right to raise an objection against the processing of personal data that occurs on the basis of our legitimate interest. If it is processing for marketing purposes, we will stop processing the personal data without unnecessary delay. In other cases, however, we will do so after the repeated assessment of our legitimate interests and your rights and justifications.
6.7. Right to lodge a complaint
The exercise of the rights and procedures set out above in no way limits your right to lodge a complaint with the competent supervisory authority. You can exercise this right in particular if you believe that we process your personal data unlawfully or in conflict with generally binding legal regulations. 7) How do we protect your personal data?
We have introduced robust technical and organisational measures to protect your data against unauthorised access, loss, changes or publication. These include:

If you have any questions, comments or requests regarding these Principles and the processing of your personal data, you can contact the data protection ombudsman at any time through the email address dpo@notino.com. Your request will be handled without unnecessary delay, though within 30 days at the latest. In exceptional cases, especially with regard to the difficulty of the request, we are entitled to extend this period by another two months. You will, however, be informed of such an eventual extension and its justification.
